How a major healthcare company mobilized its Disaster Response Plans with ReadyKey technology

Innovation Labs lead the way in transformation and modernization. When a leading healthcare company’s innovation lab set out to innovate its internal procedures for disaster response across facilities, the organization chose mobile.

Opportunity to innovate and improve workplace safety

Operations staff are often on the move and away from their desk at their worksites and facilities. Incidences such as damage to packages, spills, broken equipment, etc. need attention immediately.

Traditional disaster response plans rely on desktop software or paper materials that are not easily accessible on the go, are often out of date, or worse, misplaced. Outdated processes impact safety.

Solution - Mobile for safety

To improve access and support safe worksites, the team built Disaster Response Plan apps to provide coverage for 10 locations.

For each location, the organization included vital information to support disaster response, including emergency contact call lists (with the order to call them in), materials for dealing with specific incidents, e.g. chemical spills, maps to the closest hospital, ‘quick guide’ PDFs, advice on how to deal with the press/media, and more.

Previously, these materials were kept in various locations - employees received information online, physical handouts, and via email. The app centralizes many important safety resources, acting as a singular hub for all safety information.

Implementation: Going mobile in under 90 days

A core team of two operations managers created comprehensive facility guides to provide operations team members with access to various emergency processes and procedures. The organization launched its app as a pilot in one facility, and then rolled it out to other locations after implementing feedback. As new locations open, supporting apps are created, as well.

The app acts as a database for information and an on-the-go resource for the operations team. Top tools include:

Custom Lists and Folders that house information, such as:
  • Always up to date emergency contact information
  • Resources with guidance on specific emergency types:
  • Chemical Exposures
  • Fire
  • Cold storage failure
  • Earthquakes
  • Workplace violence
  • Power outage
  • Gas leak
  • Demonstration / Strike
  • Explosion
  • Terrorist threat
  • Facility and local maps
  • Nearby hospitals
  • Evacuation points
  • No access / Limited access locations

Key Results

Operations teams within the organization use the app to access vital information across several different innovation lab locations. The app allows these employees to access guidance and materials to help them respond quickly, efficiently, and safely.

Today, the disaster relief app is used to support every innovation lab location, every single week.

Measuring the success of mobile is clear. Operational leadership leverages mobile data to measure and oversee the program. Typically each location averages 100 sessions a month. Because the app is geared towards a small audience, app sessions, or the number of visits to the app, is critical to organizational leadership to measure success.

The healthcare company has improved operational efficiencies with mobile. Today, the operations team spends more time away from their desks and more time out in the facilities. Mobile empowers operations managers to handle issues quicker and more efficiently - right where the issue arises. “The operations team loves the app, after 4 years they can’t imagine doing things a different way when it’s so easy to get what they need - when they need it.”

The team at the innovation lab is very excited about the potential to roll this out further across the company at large. With success, the team is exploring additional use cases, including mobile support for mental health and employee wellbeing.
